| RULES & REGULATIONS FOR CC&A'S TRADE SHOW/RECEPTION |
| 1. REGISTRATION | The exhibit fee includes one (1) six-foot or (1) eight-foot table, skirted, with ID sign. No chairs will be provided, and exhibitors are expected to stand at their table during the show. No more than two people are permitted to exhibit per tabletop, although multiple properties may be represented. Only two signs per tabletop will be provided. Application form and check must be received before any tabletop is confirmed. You will not be able to exhibit if payment is not received by July 18, 2012. You will not be considered registered if your check is not received 30 days or more before show date. If a table is reserved for you, it will be sold to others on a waiting list unless special arrangements have been made with CC&A. |
| 2. SETUP/TEARDOWN | Exhibitors may set up beginning at 2 pm and must be completely ready by 4:30 pm. They should vacate their space by 8:30 pm the day of the show. |
| 3. SHOW HOURS | Exhibit times are 5:00 pm to 7:30 pm. No exhibitor may tear-down and leave early. Exhibitors may eat between 4 and 5 pm before show opens or during show at their discretion. Butler service will be provided during most of show to facilitate exhibitors remaining with clients at their tabletop. |
| 4. SPECIAL NEEDS | You must notify us well in advance if a phone line or electrical connections are needed. Please note this on your application form. University Center Club has limited availability for these. Those desiring to place lights or signs atop their table should also advise us in advance, since all exhibitors desiring power, etc., must be placed against walls or have easy access to outlets. Complaints from some attendees and other exhibitors have forced us to place exhibitors with large, tall table signs against the walls to prevent obscuring the views of attendees. If you plan to have such a sign, please notify us so we can accommodate you in a favorable wall position. Your cooperation will be greatly appreciated. |
| 5. CANCELLATION / REFUND |
A 50% refund will be given if written cancellation notice is received before July 6th.
Full refunds or credit for next year’s show will be given if we are notified in sufficient time to re-sell your tabletop at the same rate. Partial refunds will be determined on a case-by-case basis, but no more than 50% will be refunded after the cutoff date. |
| 6. WAIT - LISTING | Applications received after all tables are sold will be wait-listed (in order applications are received) for availability of table space. We make no guarantees of availability after the show is sold-out, usually by mid-June. |
| 7. DRAWINGS & GIVE-AWAYS | Exhibitors will be notified well in advance of the procedures for doing drawings or give-aways. You may always do your own and notify winners by phone calls or emails. If you want your prizes announced at our show, we will announce winners electronically on screens. It is your responsibility to make certain your prize goes to the winner whose name you drew. |
| 8. GENERAL CONDUCT | The general rule is Be A Good Neighbor. Do not obstruct or interfere with the view or space of another display, and do not bring visual or sound devices that may be objectionable to adjacent exhibitors. Exhibitors may, however, conduct drawings or promote other give-a-ways to attract visitors to their display. |
| 9. GOOD FAITH |
CC&A will make every good faith effort to provide space rented and to invite
and have in attendance those association, government and corporate meeting
planners and CEOs who constitute legitimate clientele for exhibitors present.
Planners are invited from surrounding areas, including SGMP chapter in |
| 10. | 11. FORCE MAJEURE | CC&A shall not be held responsible for any loss, damage, or delay due to strikes, lockouts, Acts of God, government restrictions, civil commotion, unavoidable casualty or other causes similar or dissimilar, beyond the control of CC&A. |
| 12. RULES CHANGES | CC&A reserves the right to make changes to these rules and to floor plans if and when such changes are considered best for the conduct or performance of the show, provided that such changes are non-discriminatory and not intended to penalize any particular exhibitor. Affected exhibitors will be notified of any such changes. |
| 13. DECORATING COMPANY | If an official decorating company is chosen to provide setup, exhibitors will be notified. |
